Office Manager
GENERAL SUMMARY
The Office Manager is responsible for general administrative and clerical support, communication with clients and other contacts, greeting all visitors with attentive care. The office manager maintains a robust understanding of the Clinic and Pregnancy Center’s purposes and functions and be able to relay correct information to all clients and visitors.
ESSENTIAL FUNCTIONS
Receptionist/Manager
- Answers telephone, screen and direct calls
- Take and relay messages
- Monitor visitors’ access and maintain security awareness
- Provide general administrative and clerical support
- Prepare correspondence and documents
- Schedule appointments and maintain appointment scheduler in computer
- Monitor and maintain office equipment
- Control inventory relevant to reception area, supply closet, bathroom, and break room
- Tidy and maintain reception, waiting, and office area
- Maintain an orderly filing system
- Implement new forms and processes as needed
- Check the mail
- Continual maintenance of client follow up system
- Care for the plants
Client Relations
- Greet persons entering Clinic and Pregnancy Center
- Sets a tone of compassion, acceptance, and availability, meeting the needs of clients and ensuring quality service
- Maintain punctual and confidential communication with potential clients
- Assists clients with emergency material support
- Assesses client needs and makes referrals to outside agencies or churches
- Provides spiritual support to clients
- Conduct phone advocacy with people facing difficult pregnancy decisions
Computer Operations
- Data entry into client database
- Microsoft Word and Excel
QUALIFICATIONS
- Exhibit strong commitment and dedication to the pro-life position and sexual purity
- Have experience in office operations, including telephone and computer skills
- Be self-motivated, dependable, and meet all responsibilities of the job
- Be comfortable with discussing issues related to pregnancy, abortion, and sexual health
PHYSICAL REQUIREMENTS
This position requires reaching, bending and stretching. It requires sitting and typing on a keypad for extended periods of time and the ability to lift 25 pounds of a limited period of time. The majority of work involved in this position takes place indoors while there are moments of physical exertion related to the set-up and tear-down of special events.

- Must view themselves as a representative of Grace House Ministries in areas of fundraising and demonstrate a willingness to participate in all fundraising activities as requested.
